Southern Oregon Neurosurgery, PC is Hiring a Surgery Scheduler Coordinator Near Medford, OR

High-pace Neurosurgery practice is looking for a Surgery Scheduler Coordinator to join our team. The position include clinic and surgery scheduling duties. Our clinic is open Monday-Thursday, 8am-5pm, and Friday, 8am-4pm.

General Statement of Duties: Responsible for supporting the Physicians and Non-Physician Providers in the delivery of neurosurgical patient care.

Supervision: Reports to Medical Assistant Supervisor and Practice Administrator

Working Conditions: Work is performed in a clinic environment. Work involves frequent contact with patients and other clinical staff. Work may involve dealing with distressed patients. Work may involve irregular work hours. Work includes exposure to bodily fluids and hazardous materials. Physical effort requires full range of body motion. All of the following are essential job functions.

  • Must be able to bend, stoop, kneel, twist, stretch, and reach to gain access to all areas needed to perform required functions of the job.
  • Must have adequate manual dexterity to write legibly and operate basic office equipment, such as computer and telephone.
  • Must be able to maintain composure under the stress of emergency situations, frequent interruptions, and heavy workload demands.

Job Duties:

  • Prepares exam rooms with necessary instruments and supplies.
  • Ensures that all necessary diagnostic tests and/or medical records are obtained prior to the patient procedure.
  • Schedules and follows all diagnostic testing, labs, and referrals ordered by provider in preparation for surgery scheduling, including preoperative clearance management.
  • Communicates with Surgeon, Care Team, facility, and patient regarding procedure, scheduling, planning, etc.
  • Works with preauthorization team to ensure all procedures are approved before scheduling.
  • Prepares and maintains paperwork and checklists for scheduling and organization.
  • Schedules and coordinates patients’ surgical appointments, including preoperative visits, postoperative visits and surgery.
  • Manages physician surgical calendar.
  • Ensures that all follow up care is coordinated/scheduled for patient’s that initiate care through the hospital.
  • Accepts and responds to all telephone calls in a professional and timely manner.
  • Triage telephone calls originating from the back line and the physician dedicated line appropriately and in a timely manner.
  • Maintains daily hospital inpatient list for all physicians.
  • Communicates professionally with patients, medical providers, co-workers and medical community partners.
  • Manages time appropriately, including cooperating with co-workers to ensure coverage for required breaks and lunches.
  • Attends required meetings and participates in committees as requested.
  • Participates in professional development courses and maintains professional certifications (if applicable).
  • Complies with all clinic policies and procedures, including HIPAA and OSHA policies.
  • Assists other office personnel in the performance of their duties as assigned and as workload permits.
  • Performs other duties as required/assigned.

Performance Requirements:

  • Knowledge, Skills, & Abilities:
  • Knowledge of medical practice as it relates to assisting a provider in the delivery of patient care.
  • Knowledge of medical equipment and instruments used to administer patient care.
  • Knowledge of common safety hazards and precautions to establish a safe work environment.
  • Knowledge of general computer operations.
  • Skill in coordinating all aspects of a patient care plan.
  • Skill in establishing and maintaining professional and effective working relationships with patients, co-workers, and medical community partners.
  • Ability to react calmly and effectively in high stress or emergency situations.
  • Ability to interpret and apply policies and procedures.
  • Ability to read, understand, and follow oral and written instructions.
  • Ability to communicate clearly.
  • Ability to work effectively as a team member within the medical office.

Education/Experience:

  • High school graduation or GED
  • Previous Surgery Scheduling or Medical Assisting in a surgical practice experience strongly preferred
  • EPIC experience is a plus

Job Type: Full-time

Pay: From $19.00 per hour

Expected hours: 40 per week
